  • Before you follow the steps below, please set a Passcode Lock. This is required by our security policies. You can use something as simple as a 4-digit PIN.

  • You have two ways to access your account. 1. Is to setup the native iOS mail,calendar, contacts app. 2. Go to the Appstore and download the Gmail, Google Calendar and various other Google Apps.

We recommend that you choose to download the various Google Apps. This provides a better interoperability between Google products. For example, Google Calendar has a link to Google Meet. You can connect to your Meet Appointment directly from Google Calendar. That option is not available in iOS Native Calendar. The only downside is that there is no Google App for contacts. If you want access to your contacts we recommend that you follow the steps below to setup Google on your phone but choose to only sync your contacts.

It is vitally important that you follow the steps on this page. These steps have been thought through to help you get into your mail and ensure the least amount of problems. These steps are like moving into a new home. While it might seem tedious to unpack boxes or moving furniture, once you do those things you probably won't do them again. In the same way, these steps once done will not need to be done again and will prepare you to fully utilize GSuite. Some of these steps might seem unnecessary but following them will save YOU a lot of frustration. Our Google accounts are linked to Cru's Global Identity Management system (formerly TheKey/Relay now Okta). Your Identity Management account may have been renamed when you were given a Cru Google account. Your passphrase may have also been reset. (If the steps below don't seem to have enough detail then look at this slideshow about "Google Setup, Security, Navigation, etc".)

Add a new Google Account on your device.

If you came here because you don't have access to a computer, we recommend that you try to find one. During the OKTA setup process, you will be prompted to setup your multifactor. If you can't set up on a computer, then setup the SMS authentication and then later on you can setup Google Authenticator.

If you have already setup your account on a computer, just follow these steps. You won't need setup Multifactor Authentication or change your password but other than that. This will walk you through setup.

1. Due to the differences in iOS, there might be some slight differences in terms or settings. For example, in iOS 12 you will go to Password & Accounts. In iOS 14 you will go to Mail and Add Accounts. Regardless, we recommend to also install many of the Google Apps from the App Store. The links for each app we recommend will be at the bottom of this document.

2. Find the correct settings to add an account

For example in iOS 12 you will start here:

Now you want to add an account and then select Google.

You will now be taken to a Google Account screen where you will enter in your work email address and then click next:

If you put in the proper email address, you will be taken to the Okta Login Screen. OKTA will eventually be the way we log in to all the ministry’s apps and services. If you have setup Okta, you can log in and skip the setup two factor. If this is your first time setting up Okta, doing this step will prepare you for the future when Okta will be our login system. After you log in with your assigned password, you will change the password to what you would prefer. Please note that GMail requirements for Passwords are more strict than normal OKTA requirements.

If you have never set up your okta account then you will be prompted to set up your Multi-Factor Authentication.

    1. Click "Setup" under the Google Authenticator option.

    2. Remember that when any site prompts you to use "Google Authenticator" for Multi-Factor Authentication (MFA), we recommend that you use the Authy app. (www.authy.com)

    1. You will be prompted to select either Android or iPhone. The choice is there to give you a link to the correct app store to download Google Authenticator. Again, we recommend that you instead use Authy.

    1. If you don't already have it installed, pause here and install the Authy app on your mobile device (instead of Google Authenticator). Links to the iOS App Store (for Apple products), Google Play Store (for Android and Samsung devices), Windows or Mac, and Linux are available.     2. Open the Authy app on your mobile device.

    3. In Authy, enter your phone number and your email address to create your Authy account.

    4. Receive via SMS (text) message the registration code (or obtain it by phone call) and enter it into Authy to verify your new Authy account.

    5. In Authy, click Add Account.

      1. On iOS (iPhone), click the red + sign at the bottom of the screen in Authy to add a new MFA account for Okta.

      2. On Android & Samsung devices, tap the "…" icon in the upper right corner to open the menu, and select the Add Account option.

      3. On the Authy Desktop app, click the + (plus) sign in the upper right corner.

    6. Create an Authy Backups Password when prompted.

    7. Use your mobile device to scan the QR Code displayed by Okta, then click Next.

    1. In Authy, feel free to choose a new icon and rename the MFA token name for Okta.com: givename.surname@cru.org, if you like. Something like "Okta" should be sufficient.

    2. Authy needs no internet connection to generate a time-based code, but it does require an accurate time on your mobile device. The Authy app will generate a 6-digit, time-based code on your mobile device.

    3. Enter the 6-digit code that was generated by Authy into Okta and click Verify.

    1. If you entered the correct code, you should be redirected back to the Set up multifactor authentication page.

    1. Now it’s time to set up SMS authentication. This is important if you should lose your phone and don’t have access to Authy. This is also the other reason why we recommend Authy. Should you lose your phone, you can use Authy on a computer or a tablet and these codes will sync between devices. Select your country and then put in your mobile number and click send code.

    1. Check your mobile device. Enter the 6-digit code that was texted to you and click "Verify".

    1. If you have entered the code properly you will be taken to the Welcome to your new account screen. Click Accept and you are now set up.

    1. Once you return to settings we recommend that you uncheck Mail, Calendars & Notes and instead use the corresponding apps from the App store.

19. Once you have installed the Google apps, open up Gmail to start setup. You will need to login again in the app for setup. After you setup one Google app, all the other Google Apps can use the the account you setup. Please follow this guide to setup you Google Account.

    1. Open up the Gmail app

    1. Now select what type of account you want, in our case click Google.

    1. You will be receive this prompt to sign in,click continue to get the sign in page.

    1. Enter in your work email address.

    1. If you put in a correct work email address, you will be redirected to Okta to sign in. If you do not get redirected, then you put in an incorrect email address.

    1. When you enter a valid email address, you should get this notification.

    1. After the correct email address and password is put in, you will be prompted to put in a 2nd form of authentication. Pick one and then verify.

    1. If you would like to receive notifications, then click allow.

    1. If you do not have a Pincode or password or some other form of passcode lock screen, then you must set one up now to continue. Switch over to settings to set one up.

    1. After you configured a lock screen passcode, then you come back here and turn on your email.

    1. Once you turn it on you will now see your emails.

    1. If you have more than one Google account, you can add them here and then switch between them by clicking on your account. Note the account icon reflects your account picture, so if you haven’t set a profile picture, it would be good to set up different pictures for your different accounts for ease of knowing which account you are in.

Remaining in email settings, Select Signature and edit as desired
